CHRONOMANCER
On the night

Live roster operations for the night itself

After the roster is scheduled, the work moves to the floor. Attendance and hours go in on a tablet, people move to cover gaps without anyone getting a round of texts, and the supervisor role gives floor leads the night they're running and nothing more.

Attendance and hours, recorded as the night happens

On the night, the roster turns into a live board on a phone or tablet. Each person has an attendance checkbox and an hours entry that goes through to payroll. Nights can carry expected start and finish times, so the hours worked sit beside the hours expected and nobody has to do the sums by hand.

  • An attendance checkbox and an hours entry for each person
  • Expected start and finish times give payroll its expected hours
  • The same times feed each person's calendar
  • Floor staff don't need access to anything before Live

Cover moves that don't wake up everyone's phone

Plans change on the night. Live Ops lets you move people between positions, mark someone ill, unavailable or left, and add cover. None of it is held up by the checks that run at allocation, because the night won't wait. The people you move or mark aren't messaged. Each change goes on a live-ops event trail instead, so later reports show who changed whom. One thing can still go out: with dropout recovery on, marking someone unwell, unavailable or gone offers their seat to standby.

  • Moves and added cover go through without allocation's checks
  • Mark a person ill, unavailable or left in one action
  • Nobody moved or marked is messaged; it's a tool for the floor
  • Each change is logged to a live-ops event trail for reporting

Dropout recovery: the seat goes to standby

A seat can come free in three ways: someone withdraws ahead of time, you mark them ill, unavailable or left on the night, or you press Recover slot yourself. Each one sends a one-time claim link to that night's ranked standby list. The first valid claim gets the seat, and everyone else sees it's been filled. The live board updates on each device that has it open, so a supervisor at one end of the venue sees what the one at the other end sees.

  • One-time signed claim links to the ranked standby pool
  • The first valid claim gets the seat; later ones are told it's gone
  • The person who claims it is placed and re-confirmed automatically
  • The live board syncs across devices through realtime updates

Questions about live operations

Who can run the Live board on the night?

Anyone with the supervisor role, which is limited to Live. Supervisors can view and run the night's roster, but they can't see setup before Live, configuration or contact records.

Does moving someone on the night send them a text?

No. Moves, cover and marks send nothing to the person moved or marked; they're logged to an event trail for reporting. The one message the night can send is a standby offer: with dropout recovery on, marking someone unwell, unavailable or gone offers their seat to the standby list.

What happens when someone drops out at the last minute?

The empty seat opens a claim offer, and a one-time link goes to the ranked standby pool. The first person to claim it validly gets the seat and a fresh confirmation. Anyone else who opens the link sees it's already filled.

Can staff cancel their own shift ahead of time?

Yes. Someone placed on a scheduled or live roster can withdraw from their own seat with notice, through the link they requested with, up until the shift starts. That starts the same dropout recovery and shows on your dashboard's needs-attention feed.

Does the live board work with several supervisors at once?

Yes. It subscribes to live updates, so the devices watching it stay in sync, whether that's one supervisor on a tablet or several in different parts of the venue.
